How to Email a Professor in Korea for Graduate School
For a master's or PhD in Korea, a professor who wants to supervise you is the strongest part of your application. Here is how to find the right ones, write an email they will actually read, and follow up.
Contacting a potential advisor is the step that intimidates people most and rewards them most. In graduate study, and especially for a PhD, a professor who is interested in you can support your admission and, in most science and engineering labs, holds the funding that would pay you. Professors receive a lot of generic mail from applicants, so most of it is ignored. The good news is that a specific, well-judged email stands out easily, because so few people send one. - Specific beats polished. One email that clearly engages with a professor's actual research beats ten flawless but generic ones.
- Do your homework first. Read recent papers from the lab so your email shows you understand what they do and why you fit.
- Keep it short. A first email is a few tight paragraphs, not your life story. Make it easy to skim and easy to say yes to.
- Attach the right things: a CV, and often a short research summary or a transcript. Do not dump everything.
- Time it and follow up once. Reach out months before deadlines, and send one polite follow-up if you hear nothing after one to two weeks.
Step 1: Build a shortlist of the right professors
Before you write anything, find the professors worth writing to. Start from the research, not the ranking. Search for faculty whose recent work overlaps with your interests, using the department's faculty pages, the labs' own sites, and scholarly search tools. For each candidate, read one or two recent papers so you can say something specific. Then check the practical signals that decide whether an email is even worth sending.

Step 2: Write the first email
A good first email does four things: shows you know their work, says who you are and why you fit, states what you want, and makes it easy to respond. Keep it to a few short paragraphs. Use a clear subject line, address the professor formally, and write in the working language of the lab (English is fine for English-taught programs).
Here is a template for the initial inquiry. Replace the bracketed parts, and cut anything that does not apply to you.

built X, which relates directly to your recent paper on Y"].
I would like to ask whether you are accepting graduate students for the
[Fall 2027] intake, and whether my background would be a reasonable fit
for your lab. I have attached my CV and a one-page research summary. I am
happy to share transcripts or discuss further at your convenience.

Step 3: Attach the right things, and nothing more
Attach a clean, current CV, and usually a short research summary of one page that states the question you want to work on and why it fits their lab. If your grades are a strength, or the program expects it, include a transcript. Do not attach a stack of certificates, a long statement of purpose, or everything you own. Step 4: Time it, and follow up once
Timing matters. Reach out well before the application deadline, often two to four months ahead, so there is room for a conversation and, if it goes well, for the professor to factor you into their plans. Sending a first email a week before the deadline signals poor planning.
If you do not hear back within one to two weeks, send a single, polite follow-up. Professors are busy and email gets buried; one nudge is normal and expected. More than that reads as pressure. Here is a follow-up template.
